One workflow. Live in 30 days.

Zero Retype: Your Heaviest Data-Entry Workflow Live in 30 Days

Your team reads a document, then types what it says into another system. The same fields, the same screens, week after week. Zero Retype ends that work on one workflow: the one that takes the most staff hours in your business.

AI reads your source documents, pulls the exact fields, and enters them into the system your team already uses. Your team reviews exceptions. They stop retyping.

  • ✓90% of documents go through with no correction needed. The rest land in a review queue, flagged for a human check.
  • ✓Target and price signed in Week 1, from a count of your actual hours and your actual documents.
  • ✓Live in 30 days from your start date, with training and a written run sheet in Week 4.

One build at a time. One new start opens each month.

The work your team repeats every week

12 hours of typing a week costs 624 hours a year.

Invoices arrive as PDFs and emails. Orders land in inboxes and forms. Intake paperwork comes in filled out by hand. Each document carries the same fields, and a person on your team opens it, reads it, and types those fields into a spreadsheet, a CRM (customer tracking software), or your accounting system.

Where the hours go

  • -Opening each document and reading the same fields, document after document
  • -Typing those fields into the destination system by hand
  • -Correcting errors that come back as duplicate records and wrong entries
  • -Hunting for the field someone entered wrong, weeks after the fact

What changes with Zero Retype

  • ✓One workflow comes off your team, the one ranked heaviest by staff hours
  • ✓The system reads, pulls, and enters the fields on every document
  • ✓Your team reviews flagged documents in a queue, in place of typing
  • ✓The count from Week 1 puts the saved hours in writing, before the build starts

A worked example

One workflow, measured the way Week 1 measures yours.

The example below uses 12 hours a week of typing at $30 per hour in loaded staff cost. The $30 figure is illustrative. Week 1 counts your actual hours, your actual staff cost, and your actual documents. Move the sliders to run your own count.

Run your numbers

Review time is the time your team spends checking flagged documents after the build. The signed target in Week 1 sets your real figure.

Your count

Price follows one formula for every build: 6 months of measured saving, $5,000 minimum. Monthly figures use 52 weeks ÷ 12 months; annual saving excludes optional continuity.

Typing cost today, per month$1,560
Review cost after the build, per month$260
Estimated saving, per month$1,300
Saving per year$15,600
Your price (6 × monthly saving, $5,000 minimum)$7,800
Due at signing, end of Week 1$3,900
Due at go-live, Week 4$3,900
Optional continuity, per month$260

Price = 6 × monthly saving, minimum $5,000.
Payback: 6 months from go-live, before optional continuity.

The path

30 days, three phases.

The target is measured, priced, and signed in Week 1. The workflow is live in 30 days.

Phase 1 - Week 1

Measure and sign

The Manual Workflow Audit counts the data-entry workflows in your business and ranks them by staff hours. We pick the heaviest one together. You receive four numbers in writing:

  • The baseline: hours per week your team spends typing this workflow today
  • The target: hours per week your team will spend reviewing it after the build
  • The accuracy test: the share of your documents that go through with no correction needed, run on your actual documents
  • The price, set by the formula on this page

Gate: The build starts after you sign the target and the price, and only when the Week 1 test reaches 90% on your documents.

Phase 2 - Weeks 2 to 3

Build and test

The extraction and the input get built for your workflow. The system reads your source documents in the formats your business actually receives: PDF, email, scan, and form. It pulls the fields your team types today and enters them into the destination system named in Week 1.

Testing runs on your real documents. Documents the system reads cleanly go straight through. Documents it reads with less certainty go to a review queue, where your team checks them in place of typing them.

Result: Your workflow processes your real documents with your team reviewing at or under your signed weekly target.

Phase 3 - Week 4

Live and trained

The workflow goes live on your full document flow. Training runs as one live 60-minute session with you and the staff who run the workflow. The session covers how documents come in, how review works, how exceptions get handled, and how to read the clean rate and the review hours.

Your team also receives a one-page written run sheet covering the same ground, so a new hire can learn the workflow from the sheet.

Result: Your workflow is live in 30 days from your start date. Your team reviews. The system types. Support runs for 30 days after go-live, weekdays, with a reply within 1 business day.

Accuracy, drift, and your dataset

90 out of 100 documents arrive with every field right.

Accuracy counts documents. The build is set to put 90% of your documents through with no correction needed. The remaining share goes to your team review queue, flagged for a human to check. Anything the system reads with less certainty gets flagged for that queue. Every entry comes from a document the system read.

Out of 100 documents

90 go through clean10 flagged for review

How many of your documents can go through clean depends on the documents themselves. Documents that repeat with the same fields in the same places send the most documents through clean. Mixed formats, poor scans, and handwriting send fewer. The Week 1 test shows where your documents stand, in counted documents, before any money moves beyond the audit.

The Week 1 gate. The 90% figure gets tested before you sign. Week 1 runs the build on your actual documents and counts how many go through clean. The build starts only when that test reaches 90% on your documents. A dataset that reaches a lower count in the Week 1 test stops the build at the gate. You see the test count either way.

Drift, counted monthly

The clean rate can drift. AI models change over time, and the mix of documents a business receives changes with it. A format your team starts receiving in month three counts as a new document type. New document types and a new destination system get measured again before the same 90% figure is promised on them. The 30-day support period covers fixes to the built workflow while your team runs it on real volume.

Investment

Your price is set in Week 1, in writing, by one formula.

Price = 6 months of your measured saving, with a $5,000 minimum.

Worked example: monthly saving$1,300
Price: 6 x $1,300$7,800
Half at signing, end of Week 1$3,900
Half at go-live, Week 4$3,900
You keep in Year 1, after payback$7,800
You keep from Year 2 on, per year$15,600

Worked-example annual figures exclude optional continuity.

You approve the target and the price before the build starts. The formula gives you the payback date at signing, in numbers from your own business. Each later workflow runs on the same terms: measured on its own documents, tested against the 90% gate, priced at 6 months of its own measured saving with the $5,000 minimum, covered by the same guarantee, and slotted into a later monthly start.

Keeping it running: an option after Day 30

Support is included for the first 30 days after go-live. After that, you can keep the workflow covered through a monthly subscription. You choose it at go-live. The build runs on its own either way.

The subscription costs 20% of your measured monthly saving per month. On the worked example, the workflow saves $1,300 per month, so the subscription is $260 per month, and you keep $1,040 of the saving every month.

  • Changes to how the system reads your documents when accuracy moves
  • Updates when your documents change inside the same document types: a field added, a field moved, a layout revised
  • Weekday support, with a reply within 1 business day
  • A monthly clean-rate count, taken from your review queue numbers, reported to you in writing

New document types and new workflows sit outside the subscription. They get measured and built as new builds, on the same terms as your first. You can cancel the subscription at any time. The workflow keeps running on the build you already paid for.

Guarantee

Two numbers decide the guarantee.

Counted across the 30 days after go-live, on the document types measured in Week 1: clean documents at 90% or above, and review time at or below your signed weekly target.

1

Counted for 30 days after go-live

Clean documents at 90% or above, and review time at or below your signed target. Both numbers come from your review queue and your team hours.

2

30 more days of work at no added fee

A miss on either number at the end of the first 30 days extends the work at no added fee for up to 30 more days.

3

Exit with your signing payment back

A miss on either number after those 30 days opens the exit. Your signing payment comes back to you, and the build gets removed. Your team returns to the manual workflow it ran before the build, with the Week 1 count in hand.

Who this fits

Owners who run a business with 1 to 50 staff, in professional services, wholesale, or logistics, where:

  • ✓Your team retypes the same fields from documents into another system every week
  • ✓The documents repeat, with the same fields in the same places
  • ✓Your destination system is already in daily use
  • ✓You can count the workflow in hours per week

One workflow per build. The audit ranks the rest.

Proof

The same steps, proven at Psycle Health.

At Psycle Health, a customer integration was estimated for a team of 6 engineers over 4 months. The delivery landed as 1 engineer in 2 months.

The work automated a fully manual workflow that had required a 45-minute call for every patient. Calls now happen only when a case needs one.

That result comes from healthcare. The work follows the same steps Zero Retype uses: count the manual workflow hours, automate it, and record the hours saved.

The first Zero Retype builds create the SMB client record, one signed target at a time.

Capacity

One build at a time. One new start each month.

Waiting carries a price you can count. On the worked example, every week on the waitlist forfeits $300 of saving, and every month forfeits $1,300. Your Week 1 count will give you your own weekly figure.

Why the limit holds: I build every workflow myself, one build at a time, and each build takes 30 days. Twelve starts exist in a year. When this month's start is taken, the next opening sits a full month away, and every week of that month carries the hours your team spends typing today.
